FitMinds Coach ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal information we collect through www.fitmindscoach.co.uk, how we use it, and the choices you have. 2. What information we collect
Information you give us through the enquiry form
When you submit an enquiry, we collect the details you choose to provide, which may include:
- Your name, email address, and phone number
- The name of your school, club, or organisation
- Booking details such as session type, age group, group size, duration, preferred dates, and location
- Anything you write in the "Tell Us About Your Group" box
A note about children's information: our enquiry form is intended for adults (parents, guardians, teachers, and organisers). Please share only the information needed for us to plan a suitable session. If you tell us about a child's additional needs, disabilities, or health-related information, this may be classed as special category data under UK GDPR. We treat it with extra care, use it solely to plan and deliver safe, inclusive sessions, and never use it for marketing.
Information collected automatically
When you browse the site, limited technical information (such as your IP address and browser type) is processed by our hosting provider for security and to keep the site running, and — only if you consent — by our analytics cookies (see section 6).
3. How we use your information
- To respond to your enquiry and discuss your booking
- To plan and deliver sessions suited to your group, including any inclusion or adaptation needs you've told us about
- To keep basic records of bookings and correspondence
- To protect the website against spam and abuse
- To understand, in aggregate, how the website is used (analytics, with your consent)
Our lawful bases are: taking steps at your request prior to entering a contract (handling your enquiry and booking), legitimate interests (running and securing the website), and consent (analytics cookies). Where special category data about a child's needs is shared with us, we rely on your explicit provision of that information for the purpose of arranging suitable support.
4. Who we share your information with
We never sell your personal information. We share it only with service providers who help us run the business:

Some providers may process data outside the UK. Where that happens, transfers are protected by appropriate safeguards such as the UK International Data Transfer Agreement or UK adequacy regulations.
5. How long we keep your information
We keep enquiry and booking information only for as long as we need it: typically while we're corresponding with you and for a reasonable period afterwards for record-keeping, after which it is deleted. You can ask us to delete your information sooner at any time (see section 8).
6. Cookies
Cookies are small text files placed on your device. This site uses:
- Essential cookies — needed for the site to function and remember your cookie choices. These don't require consent.
- Analytics cookies (Google Analytics) — help us understand how visitors use the site so we can improve it. These are off by default and only set if you accept them in the cookie banner.

The website is served over HTTPS, enquiry data is transmitted securely, and access to enquiry information is limited to those who need it to respond to you. No system is completely secure, but we take reasonable technical and organisational measures to protect your data.

Under UK GDPR you have the right to:
- Access a copy of the personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete your data
- Object to or restrict our processing of your data
- Withdraw consent (for example, for analytics cookies) at any time

9. Children's privacy
This website is aimed at adults arranging coaching for children, not at children themselves. We do not knowingly collect personal information directly from children through this website. Information about children that adults share with us when making an enquiry is used only to plan and deliver safe, inclusive sessions.
